How to Add Page Numbers to a PDF

5 min read · Updated 2026-10-29 · 473 words

A PDF assembled from several documents has no continuous numbering. Page 1 of the contract is page 1, page 1 of the appendix is also page 1, and anyone referring to "page 12" is guessing. Adding numbers takes less than a minute and makes the document citable.

When you need them

  • After merging several files — this is the main case, because each source restarts at 1.
  • For anything that will be printed and stapled: without numbers, a dropped page is invisible.
  • For anything that will be referenced in writing: a court filing, a tender, a contract with clauses that say "see page 8".
  • For a document longer than about five pages — the point at which readers stop scrolling to check where they are.

Add them

  • Open the Page Numbers tool and add your PDF.
  • Choose the position. Bottom centre is the convention for reports; bottom right for contracts and formal documents.
  • Choose the format. "1", "Page 1" or "1 of 12" all work — "1 of 12" is best for anything that might be separated.
  • Set the starting number. Use 1 normally, or continue from a previous document if this is part two.
  • Choose the first page to number. Skip page 1 when it is a cover — a cover with "1" in the corner looks like a mistake.
  • Apply and check page two and the last page.

Cover pages and front matter

A title page should not carry a number. A table of contents usually should not either, or should use roman numerals.

Most tools let you set the first numbered page. Set it to 2 for a cover page, or higher if you have a contents section.

If the document already has printed page numbers as part of a footer image, adding more will collide. Check the footer before you add anything.

Getting them to look right

  • Match the font of the document body. A number in a different typeface looks pasted on.
  • Keep it small — 9 to 11 points. A page number competing with the text is a distraction.
  • Leave room at the margin. A number printed on top of the last line is worse than no number.
  • Use a consistent position throughout. Switching between centre and right looks careless.

After merging

If you merged files, add the numbers last. Numbering first gives every source document its own 1, 2, 3.

The correct order is: merge, then order the pages, then number them.

If you also added a table of contents, add it after numbering so the page references are correct.

Privacy

Numbering is a trivial edit on a document that is often anything but trivial — contracts, filings, medical records.

A browser-based tool writes the numbers into a new copy on your device. The document is never uploaded, so numbering a confidential file carries no exposure.
