Print to PDF: What It Does and When It Goes Wrong

Every modern operating system can turn anything printable into a PDF. It is the most widely used PDF feature and the one most often misunderstood, because "print to PDF" and "export to PDF" are not the same operation.

Print to PDF versus export to PDF

Exporting asks the application to write a PDF. The program knows its own structure — headings, tables, links — and can produce a document with proper bookmarks, working hyperlinks and selectable text.

Printing to PDF asks the operating system to capture what would have gone to a printer. You get a picture of the page. Links usually disappear, bookmarks never appear, and the text may be rasterised depending on the driver.

For a quick copy of anything on screen, printing is fine. For a document you will share or file, export instead.

How to print to PDF

  • Open the document and press Ctrl+P (or Cmd+P).
  • In the printer list, choose "Microsoft Print to PDF" on Windows, or "Save as PDF" on macOS and Chrome.
  • Set the page size, orientation and margins before printing. These cannot be changed afterwards.
  • Turn off headers and footers — browsers add the URL and page number by default, which looks wrong on a document.
  • Print, then name the file meaningfully.

When it goes wrong

  • Text is not selectable: the driver rasterised the page. Try a different browser or a different option; the export route always preserves text.
  • The page is cut off on the right: the content was wider than the paper. Set landscape, or scale to fit.
  • Links are dead: expected. Printing flattens them. Use export if links matter.
  • The file is enormous: background images printed at full resolution. Turn off background graphics in the print options.
  • Headers show the file path or a URL: uncheck headers and footers in the print dialog.

What print to PDF is genuinely good for

Capturing a web page you need to keep, especially when the site has no export option.

Turning any screen into a shareable file — a dashboard, a chat thread, a receipt on a screen.

Producing a quick copy of a document you do not need to be perfect.

Printing an email to a file that still looks like an email.

Privacy

Print to PDF happens entirely on your own machine — nothing is uploaded. That is its quiet advantage over online converters, which is why it remains the safest quick option for anything confidential.

If you do use an online tool for anything else, prefer one that processes in the browser so the file still never leaves your device.
